2. Information we collect on this website

When you interact with our website, such as submitting an inquiry, scheduling a live demo, requesting a commercial quotation, or joining an upcoming feature waitlist, we collect the information you voluntarily submit:

  • Contact Information: Your full name, official email address, and active telephone or WhatsApp number.
  • Business Profile Data: Your company name, industry sector (e.g., retail, distribution, wholesale, pharmacy, manufacturing), current number of branches or active POS checkout counters, and details provided in your message.
  • Technical & Browsing Metadata: If website analytics are enabled, we collect standard browsing telemetry such as your IP address, browser type, operating system, referring URL, pages viewed, and session durations to monitor platform performance and prevent automated abuse.

3. Why we use your information

We use the information collected through symtex.pk strictly for legitimate operational purposes:

  • Inquiry Fulfillment: To respond to your inquiries, schedule tailored product walk-throughs, and prepare formal commercial proposals.
  • Product Notifications: To alert you when waitlisted modules, system updates, or localized integrations become available, provided you requested such updates.
  • System Reliability & Security: To maintain website integrity, prevent fraudulent form submissions, and analyze aggregate traffic trends.

4. Who has access to your information

We do not sell, rent, monetize, or trade your personal or business contact information to third-party advertisers or brokers under any circumstances.

Information submitted on symtex.pk is shared exclusively with service providers essential to delivering our digital services, or when required by Pakistani law:

  • Transactional Email Delivery: Web forms are securely routed to our internal team via our email delivery infrastructure provider, Resend.
  • Cloud Infrastructure: Our website and database services run on enterprise-grade cloud servers operating with strict firewall configurations and encryption standards.
  • Website Analytics: Aggregate and anonymized telemetry may be processed through privacy-aligned analytics tools (such as Google Analytics) to measure site usability.

5. WhatsApp and phone communications

If you contact our sales or support representatives via WhatsApp or direct phone call (+92 336 1118654), we retain conversation records, voice notes, and contact details to provide seamless customer onboarding and support history.

Please note that WhatsApp is a communications platform operated independently by Meta Platforms, Inc., and interactions on WhatsApp are subject to Meta’s own terms and privacy practices.

6. Data protection for Symtex software customers

For companies actively utilizing the Symtex ERP and POS application, the relationship is distinct: you own your business records, and we process them strictly on your instructions.

  • Absolute Data Ownership: All transaction ledgers, inventory tables, price books, sales slips, and customer lists entered into Symtex remain your proprietary business property.
  • Multi-Tenant Logical Isolation: Each customer organization’s database environment is logically isolated from other tenants to eliminate any risk of unauthorized cross-organization access.
  • Encryption of Sensitive Fields: High-sensitivity credentials, including Computerized National Identity Card (CNIC) records and Federal Board of Revenue (FBR) digital fiscalization tokens, are encrypted at rest (AES-256) and in transit (TLS 1.3).
  • Automated Backups & Disaster Recovery: We perform automated, encrypted backups of active environments to safeguard against catastrophic operational failures.
  • Permanent Deletion Upon Departure: Following termination and the completion of your data export grace period, your production tenant data is permanently wiped from active servers within 60 days and completely purged from backup cycles within 90 days.

7. Data retention periods

We retain records only for as long as functionally or legally necessary:

  • General Inquiries & Demo Requests: Retained for up to 24 months from your last engagement date, after which records are archived or deleted unless you convert into an active Symtex customer.
  • Active Tenant Subscriptions: Retained throughout the active lifecycle of your agreement plus the post-cancellation retrieval window.
  • Billing & Financial Auditing: Official invoices, payment acknowledgments, and tax records between your business and Symtex are retained for statutory retention periods mandated under Pakistani corporate and tax law.

8. Your rights and choices

Under applicable privacy principles, you have the right to inspect and manage your data. By writing to inquiry@symtex.pk, you may:

  • Access & Verification: Request a copy of the personal contact details we store regarding you or your business.
  • Rectification: Correct outdated, inaccurate, or incomplete contact information.
  • Erasure & Opt-Out: Request that we delete your inquiry data from our prospective customer records or unsubscribe you from non-transactional marketing announcements.

9. Cookies and tracking technologies

Our website uses essential functional cookies necessary for form submission, anti-CSRF security, and session management. We may also utilize analytical cookies to determine which software modules receive the highest interest. You may disable cookies through your browser settings; core informational features of symtex.pk will remain accessible.

10. Changes to this privacy policy

As Symtex introduces additional ERP modules, point-of-sale hardware integrations, or regulatory features, we will update this Privacy Policy accordingly. Any revisions will be published on symtex.pk with a revised “Last Updated” date.
